Admissions that happen online, managed from one place
ITTC needed admissions to be simple for applicants and staff. We built a college management system where applications happen online and are managed easily, end to end.
What the business was facing
Manual admissions are painful for everyone: applicants queue and fill forms, and staff re-key and chase paperwork. Student records then scatter across spreadsheets.
A college runs on flows that all have to stay in step: admissions, student records, fees, academics and the reporting that regulators require. When these live in separate registers and spreadsheets, the institution loses the single thread that ties a student's journey together - fees do not reconcile against records, academic data is hard to compile, and compliance reporting becomes a periodic emergency.
In the Kenyan tertiary context the reporting burden is real - bodies such as TVETA and examination and placement systems expect accurate, timely returns - and an institution that cannot produce them cleanly from its own records is exposed on both compliance and reputation, quite apart from the daily friction students feel.
Applying meant paperwork and in-person steps.
- Applicants had to come in person.
- Forms were re-keyed by staff.
- Follow-up was manual.
Tracking applicants through admission was messy.
- Status was hard to see.
- Documents were scattered.
- Decisions were slow.
Student data lived in disconnected places.
- Records were hard to retrieve.
- Reporting took effort.
- Data quality suffered.
What we designed and shipped
We built a college management system with an online admissions front end and easy back-office management.
We built a college management system that connects admissions, student records, fees and academics into one institutional backbone, so a student is one coherent record from application onward rather than several disconnected ones. The aim was to make the institution's data trustworthy and its routine reporting automatic.
We shaped the system around how the college actually operates - its intake cycles, fee structures and academic processes - so administrators work with the system rather than around it, and compliance information can be produced from live records instead of assembled by hand under deadline.
Applicants apply online, with documents captured digitally.
Staff manage applicants through admission from one system.
Student records live in one place, easy to retrieve and report on.
What changed for the business
The operational difference the system made day to day.
Administration stops fighting its own records. Fees reconcile against student data, academic information is available rather than compiled, and the day-to-day friction that students and staff feel from disconnected systems eases.
Critically, compliance reporting becomes a routine output rather than a recurring crisis, and leadership gains a clear institutional picture - enrolment, fees and academics visible together - on which real decisions about the college's direction can rest.
Applicants apply online; staff manage it all from one system.
No re-keying, no chasing paperwork.
Student data is current and retrievable.
