Bringing order to a busy auto garage
Tireproz runs an auto garage where jobs, parts, and payments move fast. We built a system that tracks each job from intake to invoice, with parts stock and M-Pesa billing.
What the business was facing
A garage lives on turning cars around quickly while tracking parts and labour. On paper and memory, jobs slip, parts go unaccounted, and billing leaks.
A busy tyre and auto-service garage is a scheduling and inventory problem wearing overalls. Bays, technicians, jobs and a fast-moving parts-and-tyre inventory all have to line up, and when they are tracked on paper the result is idle bays next to overbooked ones, jobs whose true cost is never captured, and stock that is wrong exactly when a customer is waiting.
The leakage is quiet but real: parts fitted but not billed, discounts given without knowing the floor, and repeat customers whose history has to be reconstructed from memory each visit. Every one of these erodes margin in a business that runs on volume and turnaround.
Service jobs weren't tracked consistently from intake to completion.
- Status of a car was hard to know.
- Labour and parts weren't captured per job.
- Follow-up was inconsistent.
Tyres and parts usage wasn't tied to jobs and stock.
- Stock levels were unclear.
- Parts used weren't always billed.
- Reordering was reactive.
Turning work into accurate billing took effort.
- Charges were sometimes missed.
- M-Pesa reconciliation was manual.
- Disputes were hard to settle.
What we designed and shipped
We built a garage management system that tracks each job and ties parts and labour to accurate billing.
We built a garage operations system that ties jobs, bays, technicians and parts into one flow, so a job card carries its labour and materials and the true cost and price of the work are captured rather than estimated. The design centred on turnaround - keeping bays productive and jobs moving.
Parts and tyre inventory were connected to the job flow so that what is fitted is what is deducted and billed, closing the gap between work done and revenue recorded, and customer and vehicle history were made retrievable so returning customers are served from a record, not a recollection.
Every car tracked from intake to completion, with labour and parts captured per job.
Stock tied to jobs, with usage billed and reordering informed by real levels.
Work turned into accurate invoices with M-Pesa reconciliation.
What changed for the business
The operational difference the system made day to day.
The workshop runs tighter: jobs, bays and technicians are coordinated so capacity is used rather than wasted, and turnaround - the thing customers actually judge - improves because the operation is visible.
Margin stops leaking. Parts fitted are parts billed, pricing rests on captured cost, and customer history supports both service and repeat business - turning a paper-run garage into an operation whose profitability the owner can actually see and manage.
Cars are tracked from intake to invoice with nothing slipping.
Stock and usage are tied to jobs and billed correctly.
Charges are captured and payments reconciled.
